Reporting
Kansas Board of Regents policy requires faculty and unclassified staff of Regents institutions to file a conflict of interest report upon employment and at least annually thereafter. In addition, federal policies require assurances that all investigators on a research project are in compliance with institutional conflict of interest reporting procedures. Conflict of interest reporting is, in most instances, completed via electronic submission in the eCompliance system (soon to be myCOI).
Reporting Methods
Special Notice: the eCompliance COI module will be discontinued and replaced with myCOI.
- Beginning February 14, 2023: annual disclosures are to be completed in myCOI. Notification emails to be sent at that time.
- Beginning January 20, 2023: disclosure functionality in eCompliance will cease. After this date,
- Any updates to disclosures to be made should be entered into myCOI.
- New employees will be issued COI disclosures notices from myCOI
- Instructions and guides posted at the myCOI resource site
- If you are a KUMC faculty or staff member, you have an account in eCompliance and myCOI. You can access the system at https://ecompliance.ku.edu. Log in using your KUMC username and password. Access for myCOI
- If you are a KUMC student, then you should already have an account in eCompliance and myCOI; however, you may need your account enabled by the system administrator if you have not served on previous studies. Please ask a study team member or instructor to contact coi@kumc.edu for assistance.
- Otherwise, if you are an individual affiliated with research through KUMC, but not an employee or student at the University, an account may need to be created on your behalf. Please follow the instructions located at Technology Services’ Sponsor a Network Account for a University affiliate website.
For those individuals who will have limited interaction with the KUMC research enterprise (eg, single project and no need to access other KUMC network-supported systems), you may be able to complete COI via an offline form. Contact the COI office to discuss this option.
Reporting Process
Annual Report
Annual COI Certifications are created in eCompliance as new faculty and unclassified professional staff join the KUMC community. These new KUMC personnel will be notified of their COI certification's availability in a system-generated email from eCompliance@ku.edu (soon to be myCOI, no-reply@huronclick.com) with a direct link to their specific certifications. The KUMC annual reporting window takes place for faculty, staff and research affiliates in Mid-February. Email notifications will be sent during this time. To login, please use your KUMC network username and password. If you do not receive an e-mail with the link to your Annual COI certification, please contact the COI Office.
Ad hoc/Update Report
In addition to annual reporting, faculty and staff must complete an ad hoc update to their disclosure report within 30 days if their financial relationships change during the fiscal year. To update your disclosures throughout the year, use the Create "Update Certification" button in your COI Inbox in the eCompliance reporting system at https://ecompliance.ku.edu and in myCOI use Edit Disclosure Profile.
